Cancellation Policy

You can get a full refund until Feb 29, 2024. 

After the cancellation deadline of Feb 29, 2024 and until April 15, you can find other people to take your spot. Once they register, we will refund your registration fee, after deducting the $25 transfer fee per person. Please email us at [email protected] when you have found a person to take your spot, we will be able to calculate and tell you the exact refund amount. 

Yes, you can, for a transfer fee of $25 per person. If you (transferor) have reserved with the accommodation option, the person to whom you are transferring to (transferee), will be in the same room. The transferee will need to register in the Sadhu Sanga mobile app and make the payment using a custom payment link that we will be sending. Once we receive the payment, we will refund the transferor after deducting the transfer fees. This transfer is allowed until April 15.

Registration

No, you need to register to get access to the kirtans. You can either register for the own accommodation option which is $185 per person over 5 years of age or you can buy the daily passes, which is $80 per day. Please check the other FAQ for more details on these two options. It costs us to invite the kirtaniyas, setup the stage, decorate the kirtan hall, arrange the sound system etc, so you would need to pay to attend the kirtans as well.

Yes, it is important that you register your daughter as well, even though you are not paying for her and she will be sharing the bed with the other members. The reason is some hotels have a policy to limit the number of people in a room, regardless of their age. By knowing the total number of people in a group, we will be able to allocate a room accordingly.

You are charged only for people who are 6 years or more. Private room fees are dependent on the number of people in your group who are 6 years and above. You will need to accommodate your kids (5 years and younger) in any room option that you have chosen.

Yes, we have a daily pass which you can get. This costs $80 for Saturday, $80 for Sunday, $80 for Friday and Monday combined. You can buy one or more of these passes. This fee gives you access to all the kirtans and Prasadam for that day. You can either park for free at the nearby mall or pay $6/day to park in the garage at the venue. This is the fee even if you do not want to have Prasadam, but just attend the kirtans. And there are no passes available to just pay for a meal. You can purchase these daily passes for yourself and your family members in the Sadhu Sanga mobile app itself. These daily passes are non-refundable. We won’t be selling any day passes at the event itself, as it’s not logistically feasible.

Accommodation

Yes, you would need to pay a registration fee of $185 per person. This gives you access to all the kirtans and the 9 meals of Prasadam.  You can either park for free at the nearby mall or pay $6/day to park in the garage at the venue.

Registration is done as a group of members. A group of at least 4 paying adults gets a private room without paying any additional fees. A paying adult is someone who is at least 6 years old. Please check here for the total registration fees to pay to get a private room based on the size of your group.

Yes, we should be able to book extra nights for you in the hotel. We are taking this additional work to help devotees as we understand they might get cheaper tickets for days before or after. We don’t know about the exact rate yet, but we will let you know around mid March. It might be in the range of $120 – $170/night per room, as it will depend on the type of the room you choose and the hotel we allocate. Please note that Prasadam will only be provided starting from Friday dinner until Monday togo lunch as part of your registration fees. Please email [email protected] with your additional night request before March 1st.

Yes, we can book an extra night for you in the hotel. We are taking this additional work to help devotees as we understand they might get cheaper tickets for a day before. We don’t know about the exact rate yet, we will let you know around end of April. It might be in the range of $110 – $130/night, as it will depend on the different hotels and the type of the room. Please note that Prasadam will only be provided starting from Friday dinner as part of your registration fees. Please email [email protected] with your additional night request before April 22

For those who have registered with accommodation, check-in is on Friday, May 24 and check-out is on Monday, May 27. Approximate check-in time is 3 pm and check-out time is 11 am. Exact check-in times and check-out times for the various hotels will be published in May first week when we send out the accommodation details.

Transportation / Parking / Schedule

This year’s Sadhu Sanga Kirtan Retreat will be held at the Frisco Conference Center located within 30 mins drive from both DAL (Dallas Love Field Airport) and DFW (Dallas/Fort Worth International Airport) airports.

First kirtan starts at 7 pm on Friday, May 24. Dinner starts at 6 pm. Last kirtan ends on May 27, Monday at 2 pm. Togo lunch boxes will be available for pickup from 10:30 am on Monday.

Since the hotels are within a maximum of 15 mins walking distance from the event venue, we are not providing shuttles to the different hotels this time. Shuttles are not provided for airport pickup/drop offs, devotees are requested to make their own arrangements.

There are 167 surface parking slots and 600 lots in the parking garage of the Embassy Suites hotel. We have reserved the parking in the surface lot during the day for devotees who are staying at the offsite hotels. This is free parking during the day and it will be charged for overnight parking. For devotees staying at the Embassy suites, we are still working out the parking arrangements, it will be updated here in March/April timeframe.

In April, we will be sending an email to all the registered devotees with accommodation the steps to request a parking pass. Then before the event, we will send you the parking pass, which you can print and display in the dashboard of your vehicle.

For devotees with their own accommodation or with daily passes, you can park in the garage for $6/day. You do not need a parking pass for this. Btw, there’s also plenty of free parking available in the nearby mall.

Srimad Bhagavatam class is at 7 am Breakfast will be served from 8 am. There will be kirtans from 9 am – 1:30 pm. Lunch will be served from 1:30 pm. There will be kirtans from 4 pm – 10:30 pm with a break for dinner from 7 pm – 8 pm.

General

This year’s Sadhu Sanga Kirtan Retreat will be held at the Embassy Suites by Hilton Dallas Frisco Hotel & Convention Center  – located about 22 miles from DAL (Dallas Love Field Airport) and about 23 miles from DFW (Dallas/Fort Worth International Airport) – approximately 30 minutes drive from either of the two airports.

This refers to the direct disciples of Srila Prabhupada i.e. who received initiation from Prabhupada. We are happy to offer the retreat for free for disciples of Srila Prabhupada who register by Feb 28, 2024. It’s our humble reciprocation to the countless sacrifices they have performed for our movement and to all of us. As we did in previous years, they will need to do the registration and pay the amount now. When they check-in for the event, they will receive the reimbursement check for $275.
